- The successful candidate will be responsible for assisting to manage the administrative function in the region to achieve business objectives in accordance with the Retail Operations Strategy.
You Bring:
- Valid driver’s license.
- 2-3 Years Administrative Management.
What You’ll Do For The Brand:
Branch Administration
- Ensure daily banking schedules are submitted to the Area Manager.
- Check the recon and follow up on any shortages.
- Ensure effective and efficient recovery processes/procedures is followed to manage the out of line.
- Manage daily stock control to ensure that there is sufficient supply (although not over/under)
- Ensure that a stock taking is done daily/weekly/monthly and account for stock shortages.
- Ensure uniforms for all new team members are timeously ordered.
- Ensure Riso machine orders where applicable.
- Accommodation booking in the event of region visits.
- Monthly collate the transport and meal allowances
Spread sheet for AM sign off/approval.
Branch Reporting
- Ensure that daily newsflash information is consolidated.
- Follow up on all outstanding information from branches.
- Ensure weekly/monthly reporting on branch performance to AM .
- Report on any risk/compliance issues.
- Reading branch weekly meeting minutes and feedback where is applicable.
- Ensure all audit queries raises are cleared timeously in the region.
- Daily completion of the Branch Checklist, all information to be consolidate on a spreadsheet and send to Operational support team.
- Ensure non-functional equipment’s are addressed immediately to be repaired and escalate where necessary (printers, faulty lights, toilet blockage).
Customer Experience
- Ensure superior customer service and customer experience.
- Pro-actively address customer complaints and ensure customer feedback is positive.
- Build strong relationships with branch managers and Senior Team leaders.
- Create a customer centric culture within the region and drive the philosophy of “service with a smile” at all times.
Compliance
- Compliance and adherence to company’s internal control policy, Compliance to the Code of Ethics and escalate fraudulent activities.
Communication
- Manage communication within branches and ensure that all communication that should be circulated is in fact being communicated.
- Ensure to timeously correct bad clocking and send to Time and Attendance team.
- Ensure daily roster checks to ensure sufficient team member coverage to provide customer services.
- Ensure that the correct lines of communication is followed at all times and that timeous feedback is provided to support office when information is requested.
People Management
- Ensure branch rosters are timeously submitted after AM approval.
- Monitoring team member’s worked hours to prevent excessive overtime claims.
- Ensure all approved leave is captured on the ESS system.
- Manage the desertion process of extended team member’s absenteeism.
- Build professional relationships with SEESA to ensure all formal cases logged are timeously managed and closed.
- In the event disciplinary enquires are set by SEESA notify the relevant team member.
- Assist with closing off all pending sanctions.
